Adding Long-Term Substitutes for Districts Auto-Rostering with Clever or OneRoster

First, determine if your long-term substitute is “stepping into the shoes” of the teacher who is going on leave and needs access to their customized content, including assessments and presentations, as well as class assignments and assessment scores. If yes, follow these steps:

  • Step 1: Contact TCI with the name and email address for both the teacher going on leave and the long-term substitute. We will update our database to ensure the sync works correctly.
  • Step 2: Once the database has been updated, assign the long-term substitute as the primary teacher for the class(es) of the teacher going on leave

Troubleshooting: If you do not contact TCI beforehand and a sync runs, the long-term substitute will not see classroom assignments and assessment scores. Reach out to us with the information in Step 1, and we can fix it.

If your long-term substitute does not need access to the current teacher’s customized content, assignments, or assessment scores, set the long-term substitute as the primary teacher for every class (section) they will be teaching in your student information system ("SIS"). Once the data is correct in your SIS, the students will all be reassigned to that teacher once the next sync to TCI has run. All existing student work is preserved, and the
gradebook for the substitute will show student grades for everything except student assessment scores.
